Overview

The People page is where you view and manage the people and groups (departments, roles, etc) in your organization.

The People page will only show if you are a Monarch or in the People Role

There are three sections within the People page - People, Groups and Integrations.



People

The People section is where you view and manage all the people in your organization - employees, contractors, anyone who has or may need access (in the future) to your organizations products.

People have details and options, people can edit their details but they cannot edit their options.


Search for people

To search for a person or people with similar details:

  1. click People at the top of Rulerr
  2. click People within the People page
  3. in the search bar type their name, department, role or other details about them

Rulerr will start searching as soon as you start typing.


Filter people

To filter people:

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click on the Filter icon at the top of each column and select the options you would like to see.


Sort people

To sort people:

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click on the top of each column to sort by that column (ascending/descending)


Add people

Rulerr offers two options to add people:

  1. individually
  2. import a list of people

Add people individually

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click Add Person button - a pop-up will show
  4. fill in the details of the person and set their options

The person will now show on the person table

Import people

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click import button - a pop-up will show
  4. select the csv on your computer which contains the list of people and their details
  5. select the import type
  6. click the import button on the pop-up

The people in the csv will now show on the people table.

Importing is useful when you wish to import a large list of people or if you wish to update the details of a large number of people. If you wish to update the details of a large number of people, see here.

Import type

When importing people, there are three import options:

  1. Import - will only import new people, disregarding any existing people in the csv
  2. Import/Update - will import new people and update existing people
  3. Update - will only update existing people, disregarding any new people in the csv


Edit people

Rulerr offers two options to edit people

Edit people individually

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click the person you want to edit - you will be taken to their details
  4. edit their details and/or set their options
  5. click the save button

Edit many people

To edit the details of many people at once:

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click the export button
  4. save the export file to your computer
  5. update the details and/or options of the people you want to edit in the exported csv file (save your changes)
  6. click the import button on the People tab
  7. select the csv file you just edited and also select the import type Update on the import screen
  8. click the import button

All the people on your csv will have their details and options changed to whatever they are in the csv file.


Disable people

For security reasons you cannot completely delete a Person in Rulerr but you can disable them. To disable a person:

  1. click People at the top of Rulerr
  2. click People within the People page
  3. click the person you want to disable - you will be taken to their details
  4. click the disable button
  5. a confirmation screen will show, click "disable" - The person will now be disabled.

On the disable confirmation screen there is an option to enter a start and end date/time. This allows you to disable someone for a certain period of time. If you enter a start date/time, they will be disabled from that date/time. If you enter both a start and an end date/time, the person will be disabled during that period.

NOTE
Once a person is disabled, they will no longer be able to login to Rulerr or any other product integrated with Rulerr. You will need to disable their Access to manually managed Products within the product itself.


Enable people

If a person is disabled but you wish to enable them (inactive people show as grey text):

  1. click People at the top of Rulerr
    • click the show disabled people option then scroll through your list of people OR
    • search for them
  2. click the person you want to enable - you will be taken to their details
  3. click the enable button
  4. a confirmation screen will show - click "enable"

On the enable confirmation screen there is an option to enter a start date/time. This allows you to enable someone from a future date/time. If you enter a start date/time, they will be enabled from that date/time. If you do not enter a start date/time, they will be enabled immediately.

When you enable a person their options will be set to default.


Person options

Rulerr has some options that can be set per person.

Type

You can set a type for a Person:

  1. Employee
  2. Contractor
  3. Custom - any value you wish

Type is optional.

Access Reporting and Collaboration

Rulerr allows you to share access privilege information with Executives, Managers and Staff, so you can leverage their knowledge of "who should have access to what" and make your organization more secure.

For individuals Rulerr gives you two options for access reporting and collaboration:

  1. Collaborators
  2. Viewers

Access reporting and collaboration is optional. If it is not set, the person will be unable to view or collaborate on their access privileges, see note below.

NOTE
Access Reporting and Collaboration settings are cumulative.

Example 1: If you set a person to be a Collaborator and any Group(s) they are in are set to be Viewers, their individual setting will override the group setting i.e. they will be able to Collaborate on their own access privileges.

Example 2: If you set a person to be a Viewer and any Group(s) they are in are set to be Collaborators, their group setting will override the group options i.e. they will be able to Collaborate on their own access privileges.



Groups

The Groups section allows you organise your people into Groups (departments, roles etc) and view the groups that have already been created.

Groups have details and options.


Filter groups

To filter groups:

  1. click People at the top of Rulerr
  2. click Groups within the People page
  3. click on the Filter icon at the top of each column and select the options you would like to see.


Search for groups

To search for a group or groups with similar details:

  1. click People at the top of Rulerr
  2. click Groups within the People page
  3. in the search bar - type the group name, people within the group or other details about the group

Sort groups

To sort groups:

  1. click People at the top of Rulerr
  2. click Groups within the People page
  3. click on the top of each column to sort by that column (ascending/descending)


Add group

Rulerr offers two options to add groups:

  4. click to select the csv on your computer which contains the list of groups
  5. select the import type
  6. click the import button on the pop-up

The groups in the csv will now show on the people table.

Import type

All the groups in your csv will have their details changed to whatever they are in the csv file.


Delete group

To delete a group:

  1. click People at the top of Rulerr
  2. click Groups within the People page
  3. click the group you want to delete - you will be taken to the group details page
  4. click the delete button
  5. a confirmation screen will show, click "delete" - The group will now be deleted.

NOTE
Once a group is deleted, any access privileges given to the group will be deleted. You will need to disable access to manually managed Products within product itself.


Add people to a group

To add people to a group:

  1. click People at the top of Rulerr
  2. click Groups within the People page
  3. click the group you want to add people to - you will be taken the the groups details
  4. add people to the group
  5. click the save button


Remove people to a group

To remove people from a group:

  1. click People at the top of Rulerr
  2. click Groups within the People page
  3. click the group you want to remove people from - you will be taken the the groups details
  4. select the people you want to remove
  5. click the save button


Search for groups

  1. click People at the top of Rulerr
  2. click Groups within the People page

Group options

Groups have a few options:

Type

You can set a type for a Group:

  1. Department
  2. Role
  3. Custom - any value you wish

Type is optional.

Group Manager

For every group you create, you can set Manager(s) of the group. When making someone a manager you can also select whether they can view or collaborate on the access privileges of the people within the group. This allows you to leverage the knowledge of your managers so they can check that no one in the group has unusual access privileges.

Access Reporting and Collaboration

Rulerr gives you two options for a groups (and therefore all the people within it) access reporting and collaboration settings:

  1. Collaborators
  2. Viewers

Integrations

When people leave the organization it is important that their access is removed. When people move department or role, making sure their access privileges reflect that change is important. To streamline this process, you can integrate people management software like HR software or Payroll software with Rulerr People. This will allow you to keep Rulerr and your external people management software in sync.

Add Integration

To add an integration:

  1. click People at the top of Rulerr
  2. click Integrations at the top of the People page - you will see a list products you can integrate with Rulerr People.
  3. click the product you want to integrate with Rulerr People - a pop-up will show
  4. enter the authentication details for the product integration
  5. click the save button

When you add an integration, you will need to map People in the external software with People in Rulerr.


Delete Integration

To delete an integration:

  1. click People at the top of Rulerr
  2. click Integrations at the top of the People page - you will see a list products you can integrate with Rulerr People.
  3. click the product you want to delete the integration for - a pop-up will show
  4. click the delete button

When you delete an integration, People will not be removed from Rulerr.

Integration Type

When integrating external software with Rulerr, you can select the integration type - Read or Write.

If you select Read, Rulerr will be your master people database and the integrated software will get information from it.

If you select Write, Rulerr will get information from the external software, any changes to Rulerr People will be overridden by the external software.

You can change Read/Write settings at any time.
